Summary: This role is a key team member on the For Marketing Matters team. This person functions as the only administrative support for the Principal, Mary Honan, but is also the resource for the FMM team in terms of on boarding, facilitating technical support and set up. This role is an integral part of the team – may have client interactions in terms of meeting set up and facilitating a highly effective and highly efficient top quality marketing department for our clients.

Primary duties:

Administrative support for Mary Honan, Principal FMM:

  • Maintain contacts in Outlook, schedule meetings and manages Mary’s calendar.
  • Maintain monthly mileage reporting for tax purposes;
  • Update and maintain all FMM templates in Securisync
  • Weekly call to review priorities, identify operational opportunities
  • Manages contacts by category
  • Monthly filing in person to keep files organized and current

FMM Operations:

  • Sets up new clients
  • Manages file storage

On boarding of all FMM team members

  • Manage complete on boarding of all FMM team

Facilitate Technical support and assistance for shared client file access and email

  • Primary owner of shared file/Cloud solution; manages all access by FMM team member
  • Facilitates nuances and challenges of team using both Microsoft and Apple software
  • Primary owner of email management vendor
  • Assists FMM team members in setting up conference calls

Skills/Capabilities:

  • Technology – strong grasp on how office technology works, resourceful to troubleshoot; understands shared file needs of virtual team in the cloud and nuances/challenges of creative people using Apple vs. others using Microsoft products.
  • Strong communication skills – written and verbal
  • Big picture thinker to not just keep things running as is but to be mindful and responsible for monitoring technology advances appropriate for virtual business.
  • Highly professional in terms of appearance and attitude.
  • Embraces and represents the FMM brand in all interactions with team members and clients
  • High energy and high sense of urgency.
  • Attention to detail; follow through

Background/Experience Required:

  • Proven working in highly professional environment – past experience as Executive Admin preferred
  • Proven ability to work in fast-paced, virtual environment
  • Self-motivated, driven professional, highly organized
  • Strong technical understanding of Microsoft Office, shared & secure filing solutions in the cloud
  • Available and responsive during business hours Monday – Friday
  • Important note: This person is not expected to also serve as FMM’s technical support. FMM has its own IT company that supports the systems and operations of FMM.

Geographic Location:

  • Must be close enough to North Andover for ease of in-person filing periodically (every 4-6 weeks)     without that requirement being prohibitive

Hours Per Month:

  • Currently about 5 hours/week – 20 per month

Other:

  • Must accept in writing the FMM Standard Operating Procedures including being a top quality professional, dedicated to delivering high quality work consistently, being part of the FMM team and having a high sense of urgency; consistent weekly reporting without prompting.
